Job Title: Front Desk Secretary

Start: January 27, 2025

Rate of Pay: $25.17/hr, Full Time

211 day agreement/year

 

REQUIRED QUALIFICATIONS:

  1. Relevant work experience in education, business, or a related field. An associate’s degree in a related field may be considered in lieu of work experience."
  2. Professional experience in a K-12 educational setting, especially working with online, at-risk, or early college students.
  3. Strong verbal and written communication skills that adapt to the needs of diverse audiences, including parents and students.
  4. Ability to effectively communicate with parents, students, and staff using traditional and contemporary technological means.
  5. Ability to foster and encourage positive interactions and relationships with students and families/guardians.
  6. Understand and implement trauma informed best practices.
  7. Understand skills/strategies for meeting the diverse needs of students and utilize them effectively.
  8. Demonstrated ability to maintain professionalism, punctuality, and a collaborative attitude.
  9. Strong attention to detail and ability to follow multi-step procedures accurately.
  10. Ability to read and comprehend instructions, correspondence, and memos. Ability to write simple correspondence and routine reports. Ability to present information and respond to questions from administrators, teachers, students, parents, and secretaries. Ability to communicate using correct grammar. Ability to communicate clearly and concisely in both oral and written form.
  11. Comfortable with learning new computer and database systems as necessary for student information management. 
  12. Displays initiative to see both current and future problems or needs and to respond accordingly. Actively seeks to improve systems for efficiency and effectiveness. 
  13. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to apply common sense understanding to carry out detailed written and/or oral instructions.

 PREFERRED QUALIFICATIONS:

  1. Bilingual ability in either Spanish or Russian is highly desirable. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Makes and receives telephone calls, takes messages, and routes calls.
  • Responds to inquiries from students, teachers, and parents.
  • Buzz visitors in, greet visitors and issue visitor badges.
  • Compiles and submits a variety of daily, weekly, monthly, and year-end reports as required.
  • Types, prepares, distributes, and files records, reports, and correspondence as requested.
  • Operates standard office equipment, e.g., computer (data entry), telephone, calculator, and copy/fax machines.
  • Maintains regular attendance.
  • Maintains asset management system: Tracks assets, checks out computers, books and other equipment, sends invoices, follows up with phone calls to collect equipment.
  • Support other departments by tracking down documents and scheduling appointments and meetings.
  • Follow school policies and standard practices, while working collaboratively with teachers and families.
  • Manage inventory, purchasing, tracking, and distribution of student materials.
  • Other duties as assigned.

 

SUPERVISORY RESPONSIBILITIES:

 

  1. May occasionally supervise students.

While performing the duties of this job, the employee is required to lift and pull or push articles up to 50 pounds. He/she sits most of the time but must walk frequently and, at times, stand.

The employee is required to reach with his/her hands and continuously to repeat the same hand, arm, or finger motion many times as in typing. Manual and finger dexterity are essential to the job. He/she is constantly working to meet deadlines with severe time restraints. He/she must see and read fine print such as typed or handwritten materials and have good depth perception (fine muscle control). The employee must, also, be able to hear conversation in a noisy environment and to communicate clearly and concisely through speech.

The noise level in the work environment is acceptable to this environment. The noise level can vary depending upon the daily activity but will still remain within the acceptable noise level range. He/she is frequently exposed to infection (germs, bacteria, viruses). The employee continuously interacts with the public, staff, and students. The employee must frequently meet multiple demands from several people. The work environment includes inside and outside areas. The employee is exposed to CRT’s.
